A bit of wisdom on the web

Recently we launched a service which publishes the University’s programme (course)  specification documents from the edrms (wisdom) to the web. You can see the service at http://halo.hud.ac.uk/ProgrammeGuides/.  Obvious advantages not least in having a single source of authoritative information and being able to use the version control features of the edrms to keep up with any changes to the programmes made during the quality review process.

Auto check in

Today I changed the configuration of our electronic document & records management system (edrms).  Ever since the edrms was piloted here, before my time back in 2005, if you want to edit a document held in the edrms you have had to remember to “check it in” when finished.  This is because – understandably – the edrms reserves (checks out) a document to a user.  Checking it in confirms that you have finished making changes to it, and makes those changes available to everyone.  It also creates a new version of the document (the edrms lets you look back at previous versions).

Reasons for RM: scanning

I’ve just completed an AIM survey on scanning and was interested in their “reasons for scanning (pick the top 3)” question:

  • Improve process throughput (productivity)
  • Records security and accessibility (compliance)
  • Improve speed of access (customer service)
  • Improve searchability/findability of business documents (knowledge management)
  • Reduce physical storage space (office costs)
  • Improve resilience to incidents (business continuity)
  • More options for re-location, outsource, etc. (organizational flexibility)
  • Reduce usage of paper and copying (environmental)
